Facility Operations

Days of Operation:

Open all year round (except December 29 – January 3).
Please note that the premises may be temporarily closed for inspection of facilities and equipment.

General Operating Hours:

9:00 a.m. – 9:00 p.m.
Please consult with us for the use of the facility beyond the above operating hours.
Usage hours are deemed to be from the time of entry till leaving the room, including set-up and tear-down.

Usage Procedures

STEP.1
Inquiry and Consultation

Please use the contact form or call us to make an inquiry or to consult about your requirements.

Application Start Dates
  1. Entire facility, Link Rooms 1+2+3 or Link Room 1:
    First working day of the month, one year prior to the date of use
  2. Others:
    First working day of the month, six months prior to the date of use
    *Usage of the Guest Room and Meeting Room will be prioritized for customers using Link Room, Dialogue Room or Board Room.

STEP.2
Provisional Booking

You may provisionally book the venue of your choice for one week after availability has been confirmed.
Please note that if you do not contact us within one week after making a provisional booking, the provisional booking will automatically be cancelled.

STEP.3
Applying for Usage

Once we have received your inquiry and informed you of the available dates and venues, we will send you an "Application Form." After entering the required information, please return the completed form to "DAIMYO CONFERENCE."

STEP.4
Confirmation of Booking

A booking is only confirmed upon receipt of the "Application Form" and issuance of the "Letter of Acceptance." Please note that once the booking has been made, applicable cancellation fees will be incurred.

STEP.5
Payment of Facility Usage Fee

An invoice for the facility usage fee will be sent to you together with the "Letter of Acceptance."
Please transfer the fee by the date specified on the invoice. Bank transfer fees are to be paid by the applicant.
Please note that cash and credit card payments are not accepted.

Please also be advised that if payment cannot be confirmed by the specified date, the booking will be cancelled and the applicable cancellation fee will be incurred.

The bank transfer statement will serve as the receipt.

STEP.6
Preparatory Meeting

Arrangements for the layout and incidental services (supplies, equipment, catering, etc.) will be discussed at a meeting prior to the use of the venue.
Please feel free to ask us about various arrangement options and services.
Please note that depending on the details of your use, you may be asked to submit additional relevant documents.

STEP.7
Day of Use

Please stop by the Reception Counter on the 3rd floor both before and after your use.
Please note that extending usage time on the day of use may not be accepted depending on the situation.

STEP.8
Final Balance Payment

Any difference between the facility usage fees already paid and the actual amount used shall be settled.
Fees for extensions and incidental services will be invoiced separately.
Please transfer the amount by the date stated on the invoice.
Please note that cash and credit card payments are not accepted.
The bank transfer statement will serve as the receipt.

Cancellation Fees

If you wish to cancel your booking after the "Letter of Acceptance" has been issued, please submit the designated "Application for Cancellation of Use" form. The applicable cancellation fee will be incurred.

After the issue of the "Letter of Acceptance"
  • 90 days or more before the date of usage: 30% of the usage fee for facilities
  • 15 days or more before the date of usage: 50% of the usage fee for facilities
  • Within 14 days of usage : 100% of the usage fee for facilities

Cancellation of arrangements for supplies, equipment, catering, and any other incidental services will also be subject to a separate cancellation fee in accordance with the relevant cancellation policies.
